Overview
NNSI SignalHub ("SignalHub," "the application," "we," or "us") is an internal business application operated by NNSI for use by NNSI employees and authorized contractors. It is used to plan and track construction and integration projects, jobs, tasks, schedules, tools, consumables, expenses, and related operational records. It is not a public or consumer-facing service, and accounts are not available to the general public.
This policy explains what information SignalHub collects, how it is used, who it may be shared with, and how you can ask questions about it.
Information We Collect
SignalHub collects the information needed to operate as a multi-user project tracking and job-management tool:
- Account information: name, work email address, employee ID, hashed password, assigned roles and permissions, and account status (e.g. approved, locked, verified).
- Authentication and security data: session identifiers, sign-in timestamps, failed login attempts, and account lockout events, used to keep accounts secure.
- Project and job data: projects, job sites and addresses, cost centers, contracts, submittals, bills of material, CAD and closeout documents, tasks, approvals, and schedules entered by users in the course of business.
- Field and operations data: timecards and daily reports (via Raken), PO check-ins, expenses, consumables and tool tracking, and print-label jobs.
- Files you upload: documents, photos, and other attachments added through the Document Manager or other upload features.
- Address lookups: text typed into address fields, sent to Google Maps Platform to provide autocomplete suggestions. See Third-Party Services below.
- Usage and diagnostic data: aggregated page views and performance metrics collected via Vercel Analytics, and application logs used to diagnose and fix issues.
SignalHub does not knowingly collect information from members of the public. Some dashboard views can be shared through a public link (for example, for office signage); those links are intended for internal use and are managed by administrators.
How We Use Information
Information collected in SignalHub is used to:
- Provide project tracking, scheduling, and job-management features.
- Authenticate users, enforce role-based access, and protect accounts from unauthorized access.
- Send task, approval, and account-related notifications by email.
- Generate reports, dashboards, and exports for internal business use.
- Maintain, secure, and improve the application, including diagnosing bugs and monitoring usage patterns.
- Comply with NNSI policies and applicable law.
Information in SignalHub is not sold, and it is not used for advertising or marketing to third parties.
Third-Party Services
SignalHub integrates with a limited set of third-party services to provide its features. Each processes only the data needed for its specific function:
- Google Maps Platform (Places API): when a user requests address suggestions, the typed text is sent from NNSI's server (the API key is never exposed to the browser). Governed by the Google Privacy Policy.
- JetBuilt, Raken, and FollowUp CRM: connected business systems used for AV project/quote data, field daily reports and timecards, and CRM records. SignalHub reads and writes data with these systems on behalf of authorized users.
- Resend: used to deliver transactional emails (task assignments, approvals, account notifications).
- Vercel (hosting, Blob storage, Analytics): hosts the application, stores uploaded files, and collects aggregated, privacy-focused usage analytics.
- AWS S3: used for additional file storage.
- MCP connector (AI assistant access): SignalHub offers an optional, OAuth-gated MCP server that lets an authorized user connect an AI assistant (such as Claude) to read-only Raken/JetBuilt data without sharing NNSI's underlying API keys. This access requires an explicit sign-in and only exposes data the connecting user is already authorized to view.
We do not share SignalHub data with third parties except as described above, as needed to operate the application, or as required by law.
Cookies and Session Data
SignalHub uses a single, essential session cookie to keep you signed in. It is HTTP-only and is not used for advertising or cross-site tracking. It expires automatically or when you log out. A local, on-device preference (such as light/dark theme) may also be stored in your browser.
Data Security
Access to SignalHub requires an approved account, and access to administrative functions is limited by role. Passwords are stored as salted hashes, not plain text. Repeated failed sign-in attempts can lock an account to prevent unauthorized access. Data in transit is encrypted (HTTPS). No system is completely secure, but we take reasonable, industry-standard measures to protect information stored in SignalHub.
Data Retention
Information in SignalHub is retained for as long as needed to support ongoing business, legal, and security purposes, such as active projects, recordkeeping requirements, and dispute or audit needs. When information is no longer needed for these purposes, it is deleted or de-identified in the ordinary course of system maintenance.
Your Rights and Choices
Because SignalHub is an internal business tool, most information in it is business and job-site data rather than personal data about you as an individual. For questions about accessing, correcting, or deleting your account information, or business information you submitted, contact your SignalHub administrator or privacy@nnsi.net.
Children's Privacy
SignalHub is an internal workplace tool intended for use by NNSI employees and contractors. It is not directed to, and does not knowingly collect information from, children.
Changes to This Policy
We may update this policy as SignalHub's features or integrations change. Material changes will be reflected by updating the "Last updated" date above.
